2018 Abstracts Presentation Information

E-Posters and Poster Pick-Up

San Diego Convention Center, Lobby D

Mira has arranged for pre-ordering of poster printing and delivery to the Experimental Biology 2018 meeting. Information was sent in advance with your poster confirmation information.

Posters may be picked up during registration hours:

Friday | 1–6 p.m.
Saturday | 7 a.m.–8 p.m.
Sunday–Tuesday | 7 a.m.–5 p.m.
Wednesday | 7 a.m.–3 p.m.

Onsite poster printing will be available using FedEx Kinkos in Lobby D of the Convention Center. Visit FedEx online to place an order, or contact FedEx Office at the Convention Center by calling 619-525-5450.

Online Poster Access

Following the meeting, all registered attendees will be able to access PDFs of the posters online through the e-poster website. This is an additional opportunity to gain exposure and interest in your research, and all poster presenters are encouraged to upload a PDF file of their poster. Only registered attendees will be able to access the e-poster site.
 
After logging on to the e-poster website, click the "Upload File" link next to your submission title and then select "Submit File and Return Home."

Oral Presentation Information

Please note that recording (photographing, audio taping or videotaping) any presentation/session is PROHIBITED, except by an EB-authorized agent.
  • All speakers should check their presentations in the Speaker Ready Room at least 4 hours in advance of the session to verify content is presentable on the PC provided. It is imperative that you follow this request in order to eliminate schedule delays. Take all presentations to the room you will be presenting in and the AV Tech will assist you in loading it onto the PC Laptop provided. There is no central server system for the conference.
  • Session rooms will be equipped with the standard projection equipment provided includes a DLP data projector, PC computer, 4x1 switcher, D’san Programmable timer, laser pointer, and technician.
  • Speakers need to arrive in the session room 30 MINUTES before their session begins to touch base with the in room AV technician. Bring your presentation on a readable USB flash drive.
  • When preparing your presentation please use standard fonts (e.g., Times, New Roman, Ariel, Helvetica, etc.). If you are using a font that is not standard it should be embedded into your PowerPoint presentation.
  • Create your presentation using 16:9 aspect ratio.
  • Include in the same folder as your presentation, any external files utilized, e.g. movie files. Copy the entire folder to the USB flash drive.
  • Test your presentation on a separate PC compatible computer to insure fonts are standard and components such as movies are included rather than merely linked in your presentation.
  • The operating system on the session room PCs provided will be Windows 10, and software will include: Microsoft Office 2016, Adobe Acrobat Reader 11, Quicktime, Windows Media Player, Flash Player, VLC Player.  
  • We recommend that presenters bring a backup of their presentation on an alternative storage medium to cover the possibility of luggage loss, theft, and/or incompatibility.

Speaker Practice Rooms

You are encouraged to go to the Speaker Ready Room in advance of your presentation to verify that the presentation will function on the equipment provided. Please note there is no central server, the speaker ready room is for updating your presentation and to check compatibility to the in room equipment.  A speaker practice room will be located in the San Diego Convention Center, Room 12 and 21. You will be responsible for bringing your presentation to your assigned meeting room.

All speakers should check their presentation 4 hours in advance (if possible) to verify the presentation will function on the equipment provided. Speakers should arrive in the session room a ½ hour before the session starts.

Internet (NOT PROVIDED)

  • Session rooms do not have Internet access. If your presentation requires an internet connection please check with your programming society for approval.

Laptops

You do not need to bring your own laptop to the meeting room. However, if you would prefer to use your own laptop for your presentation, please review the following:

  • If you are using your own laptop: Your laptop must have either a mini-display port or a mini-hdmi output to connect to the cabling provided that runs to the data projector in the session rooms. Some laptops have a special interface cable that attaches to the output of their laptop to hook to external switchers, monitors and data projectors. If your laptop requires a different type of adaptor other than the mini-diplay port or hdmi provided to connect to the Male DVI-D cabling that runs to each projector you will be required to bring your own as these adaptors will NOT BE PROVIDED. EB is not responsible for equipment left in the session rooms.

Poster Presentation Information

Please note that recording (photographing, audio taping or videotaping) any presentation/session is PROHIBITED, except by an EB-authorized agent.

Each poster board is marked with a unique posterboard number. This unique number indicates the placement of the board within the Exhibit Halls.  The designation also corresponds to which Society your poster was submitted under for grouping of Society and topics.

Poster Policy

  • Presenters must mount their posters no later than 9:00 AM on their day of presentation.
  • The Exhibit Hall opens at 7:00 AM to mount posters.
  • Presenters are expected to be at their poster boards during the assigned session presentation time, as designated by each society.
  • Posters must remain on display all day from 9:00 AM – 4:00 PM (except on Wednesday.)
  • Posters that do not remain on display all day during their assigned day may at the discretion of the programming society, be ineligible for awards.
  • Recording (photographing, audio taping or videotaping) any presentation/session is PROHIBITED, except by an EB-authorized agent or by First Authors who want to photograph their poster presentation.

E-Posters

  • The site to upload e-posters can be found here http://submissions.mirasmart.com/EB2018/Poster.
  • The e-posters will be accessible to all registered attendees for viewing after the conclusion of the meeting.
  • Instructions for uploading your poster was sent with your confirmation in February.

Poster Presentation Instructions

Posters should be readable by viewers three feet away. Use large print and shade or color block letters when possible.   A minimum font size of 28 point and a maximum of 600 words are recommended. The message should be clear and understandable without oral explanation.

The poster-board surface area is 3'8" high and 5'6" wide. Prepare a 6" high headline strip that runs the full width of the poster. Include the title, authors, and affiliations on the strip in letters not less than 1" high. Post a large-typed copy of your abstract in the upper left-hand corner, including the program number (this is found in the Program and may be entered at the meeting).  Remember to leave space on the board for colleagues to leave notes and include an email address for viewers to contact you later. 

General Guidelines

The following guidelines will help improve the effectiveness of your poster communication:
  • Initial Sketch - Plan your poster early. Focus your attention on a few key points that follows the main headings in your abstract typically Purpose, Methods, Results, and Conclusion.
  • Rough Layout - Enlarge your best initial sketch, keeping the dimensions in proportion to the final poster. Ideally, the rough layout should be full size. A blackboard is a convenient place to work. Print the title and headlines. Draw rough graphs and tables.
  • Final Layout - The artwork is now complete. The text and tables are typed. Now ask, is the message clear? Do the important points stand out? Is there a balance between words and illustrations? Is there spatial balance? Is the flow from Purpose, Methods, Results and Conclusion easy to follow?
  • Balance - The figures and tables should cover slightly more than 50% of the poster area. If you have only a few illustrations, make them large. Do not omit the text, but keep it brief. The poster should be understandable without oral explanation.
  • Topography - Avoid abbreviations, acronyms, and jargon. Use a consistent font throughout. An 8.5" x 11" sheet of paper enlarged 50% makes the text readable from a distance of three to five feet.
  • Eye Movement - The movement of the eye over the poster should be natural, down the columns or along the rows. Size attracts attention. Arrows, pointing hands, numbers, and letters can help clarify the sequence.
  • Simplicity - Resist the temptation to overload the poster.

Poster Printing

Mira Conference is offering special pricing on poster printing services, including the convenience of shipping your poster directly to the San Diego Convention Center.

The deadline to upload a poster for printing is April 4, 2018.

The on-site delivery fee is $25.00 (for up to 2 posters) and $10.00 additional for each poster over 2 poster print orders.

After logging on to the site, click the "Upload File" link next to your submission title to begin and then select "Submit File and Print." If you have already uploaded your file for online viewing you will click the link called "Print this Poster" under the action column to begin the purchase process.  
 
Any files received after the March 30th, 5:00 PM Eastern deadline will be assessed a rush charge of $125.  No files will be accepted after April 8th, 5:00 PM Eastern. Please note that the site accepts the four major credit cards (Visa, Mastercard, Discover, American Express).

File Format Guidelines

When supplying your poster file, we recommend uploading a high-resolution PDF (with image resolution of 300 dpi or greater).  If your poster was created in PowerPoint and you are unable to convert to PDF, then uploading your PowerPoint file is acceptable.  Please note, however, that all files will be converted to PDF for printing. Since 56’’ is the largest poster size PowerPoint allows, please see below for the slide size to set in PowerPoint for the two poster sizes larger than 56’’ that you wish to print:
  • 60’’ x 42’’ (152.4cm x 106.68cm) – 56 x 39.20
  • 66’’ x 42’’ (167.64cm x 106.68cm) – 56 x 35.64
Poster pick-up will be outside of Exhibit Hall D.
